Refund & Cancellation Policy

Location: West Chiltington, West Sussex
At Little Vines Clinic, we value our clients’ time and are committed to providing high-quality aesthetics and semi-permanent make-up treatments. The following Refund & Cancellation Policy explains how deposits, cancellations, treatment changes and refunds are handled.
 1. Booking Deposits
A booking deposit may be required to secure an appointment.
Deposits are used to reserve your appointment time and help cover the time and preparation set aside specifically for you.
Where a client cancels or fails to attend an appointment without giving the required notice, Little Vines Clinic may retain all or part of the deposit where this reasonably reflects the loss caused by the cancellation.
Deposits will not be retained where doing so would be unfair or contrary to your statutory consumer rights.
 2. Cancelling or Rescheduling an Appointment
We understand that circumstances can change. We therefore ask clients to provide at least 48 hours’ notice if they need to cancel or reschedule an appointment.
Where at least 48 hours’ notice is provided, the appointment may normally be rescheduled and the deposit transferred to the new appointment, subject to availability.
Where less than 48 hours’ notice is provided, or where an appointment is missed, the deposit may be forfeited.
Repeated late cancellations or missed appointments may require a new deposit before another appointment can be booked.
 3. Late Arrival
Please arrive on time for your appointment.
If you arrive late, your treatment may need to be shortened or, where there is insufficient time to safely complete the treatment, the appointment may need to be rescheduled.
Where an appointment cannot go ahead because of significant lateness, the cancellation provisions above may apply.
 4. Treatment Suitability and Contraindications
Certain medical conditions, medications, skin conditions, allergies or other circumstances may mean that a treatment cannot safely be carried out.
Clients are responsible for providing accurate and complete information during consultation and completing any required consultation or medical forms.
If Little Vines Clinic determines that a treatment cannot safely proceed, we will discuss the available options with you. Where appropriate, your appointment may be rescheduled rather than cancelled.
 5. Semi-Permanent Make-Up
Semi-permanent make-up is a bespoke treatment and results can vary between individuals.
Because the treatment is personalised and performed specifically for the individual client, refunds are not automatically available simply because a client subsequently changes their mind about the chosen colour, shape or style, provided the treatment has been carried out with reasonable care and skill and in accordance with the agreed consultation.
Where a client has concerns about their treatment or results, please contact Little Vines Clinic as soon as reasonably possible so that we can assess the concern and discuss an appropriate solution.
 6. Top-Ups and Perfecting Sessions
Where a perfecting/top-up appointment is included within a treatment package, it must be booked and attended within the timeframe communicated to you at the time of treatment.
Failure to attend or provide the required notice may result in the top-up being forfeited.
A top-up does not constitute a guarantee of a particular cosmetic result, as healed results can vary depending on individual skin type, lifestyle, aftercare and other factors.
 7. Treatment Packages
Where multiple treatments are purchased as a package and the client subsequently wishes to cancel before all treatments have been provided, Little Vines Clinic will consider the refund due based on the services already supplied and any reasonable, directly resulting costs, subject to the client’s statutory rights.
Any refund due will be calculated fairly and will not unfairly penalise the client.
 8. Refunds for Unsatisfactory Services
We want every client to be happy with their experience.
If you believe a service has not been provided with reasonable care and skill, please contact us promptly so that we can investigate the matter and discuss an appropriate remedy.
Depending on the circumstances, this may include correcting the issue, providing a further service where appropriate, offering a partial refund, or providing another remedy available under applicable consumer law.
Nothing in this policy limits or excludes your statutory consumer rights.
 9. Clinic Cancellations
If Little Vines Clinic needs to cancel your appointment, we will provide as much notice as reasonably possible and offer an alternative appointment where appropriate.
If you do not wish to reschedule and a refund is due, any payment relating to services that have not been provided will be refunded in accordance with applicable consumer law.
10. Refund Processing
Where a refund is agreed or legally due, it will normally be processed using the original method of payment.
Refunds will be made without undue delay and, where applicable, within the timescales required by law.
11. Statutory Consumer Rights
This policy does not affect your statutory rights as a consumer.
Little Vines Clinic reserves the right to amend this policy from time to time, provided that any changes will not affect rights that you have already acquired.
